BDP Quadrangle is seeking an experienced receptionist with a minimum of two years of office experience to join our talented and flexible Administrative Team. A strong preference will be given to candidates with experience in a professional services firm in a similar role. Exposure to Outlook calendar management and EA support is an asset. The successful candidate will be energetic, versatile and willing to expand their skills where necessary. The position requires excellent oral and written communication skills, a sharp attention to detail, the ability to juggle multiple tasks, a willingness to assist in a wide variety of tasks and learn new office technologies. Please note that this position requires you to be in office 5 days a week.

Overview of the role and responsibilities

  • Utilise Microsoft Teams technology to answer query calls as needed and direct the incoming calls to appropriate individuals;
  • Greet guests, take coats, offer beverages, and accompany them to the appropriate meeting room;
  • Maintain Studio attendance for reception and safety purposes using Robin desk booking technology;
  • Ship outgoing packages using our couriers, track received packages and communicate to colleagues for pickup;
  • Work closely with the Administrative Team to communicate meeting room needs, including set up and clean up;
  • Ensure the reception area is kept stocked and tidy;
  • Assist the Administrative Team with formatting, reviewing, and distributing documents, as well as maintaining the project contact database;
  • Other ad hoc duties as required.

About you

  • Minimum of two years experience within a client-facing environment;
  • Excellent interpersonal and client service skills with ability to interact professionally with other employees and clients with respect;
  • Effective verbal and written communication skills and active listening skills;
  • Experience using Microsoft Word, Teams and Excel. Microsoft Outlook calendar management and EA support is a strong asset;
  • Prior experience in reviewing and proofreading office documents is a strong asset;
  • Strong organisation skills with the ability to juggle multiple tasks.
